Le Coordinateur Groupes & Events (H/F) est amené à développer/coordonner les Groupes & Events. Il/elle s’assure de la facturation pour le segment Groupes (+10 chambres) ainsi que de la finalisation, coordination et accueil des clients Groupes avec les services opérationnels et financiers. Il/elle peut être amené à entreprendre des missions Catering ou travailler pour soutenir les évènements sur place.

MISSIONS PRINCIPALES :

1. Coordination Manifestations Groupe

  • Assure la coordination et liaison en interne avec les différents services concernés pour tous types de manifestation lié au Groupes de +10 chambres (préparation et diffusion du groupe résumé, obtenir des garanties participants, liaison avec les fournisseurs/bon de commande, réception des arrhes, etc.) afin d’assurer la bonne organisation des évènements
  • Participe au suivi et finalisation de tout type de manifestation groupes (10+ chambres) une fois le contrat signé (liste nominative, programme, réception d’arrhes, etc.) incluant la préparation et diffusion de feuilles de fonctions et des résumés de groupe
  • Veille au bon déroulement du séjour lorsque les groupes sont dans l’hôtel
  • S’assure de respecter les standards de la marque

2. Suivi Commercial

  • Peut être amené au traitement des demandes entrantes spécifiques de clients individuels ou sociétés pour tous types de demande Groupes, conférences et banquets : repas, cocktails, mariages, conférences, séminaires, expositions et tout autre type de manifestions, liste non exhaustive.
  • Préparation des propositions, relances, contrats, finalisation, feuilles de fonctions, feedback (gestion intégrale des manifestations spécifiques)
  • Assure les visites d’inspection pour les dossiers groupes et banquets
  • Assure le suivi de la facturation, vérifie les PM
  • Préparation et envoi des factures de manifestation banquets et groupes

Vous avez déjà une expérience réussie en hôtellerie de Luxe.
Anglais et Français courant (lu, écrit, parlé) et la maîtrise d’une 3ème langue est un plus.

  • Maitrise de l’outil informatique Microsoft Office (Word, Excel, Outlook, Powerpoint, Publisher)
  • Connaissance du système Opéra

The Groups & Events Coordinator is responsible for developing/coordinating Groups & Events. He/she is in charge of invoicing for the Groups segment (+10 rooms) as well as finalizing, coordinating and welcoming Group customers with the operational and financial departments. He/she may be required to undertake Catering assignments or work to support on-site events.

MAIN TASKS :

1. Coordination of Group Events

  • Coordinates and liaises internally with the various departments concerned for all types of events related to Groups of +10 rooms (preparing and distributing the group summary, obtaining participant guarantees, liaising with suppliers/order forms, receiving deposits, etc.) to ensure smooth organization of events.
  • Participates in the follow-up and finalization of all types of group events (10+ rooms) once the contract has been signed (nominative list, program, receipt of deposits, etc.), including the preparation and distribution of function sheets and group summaries.
  • Ensures the smooth running of the stay when groups are in the hotel
  • Ensures compliance with brand standards

2. Commercial Follow-up

  • May be called upon to handle specific incoming requests from individual customers or companies for all types of requests Groups, conferences and banquets: meals, cocktails, weddings, conferences, seminars, exhibitions and all other types of events, non-exhaustive list.
  • Preparation of proposals, follow-ups, contracts, finalization, function sheets, feedback (full management of specific events).
  • Ensures inspection visits for groups and banquets.
  • Follows up invoicing, verifies PM
  • Prepares and sends out invoices for banquet and group events.

You already have successful experience in the luxury hotel sector.

Fluent in English and French (read, written and spoken), and fluency in a 3rd language is a plus.

  • Knowledge of the Opera system
