Boeing Global Enterprise Services leads, integrates and enables Boeing’s global operations, providing high quality and agile services, driving operational excellence with local diverse teams and partners. We are currently looking for a Administrative Assistant/Receptionist to be based in our Paris, Avenue Marceau (8ème arr.) office.

By definition of the role and associated tasks, the position is 100% office-based; working hours are from 08:30 to 17:30 with one-hour lunch break, Monday to Friday; a navy blue uniform will be requested, expensed by Boeing.

The incumbent is required to work with strict confidentiality, discretion and limited supervision, providing high quality support to office residents and visitors. The role includes front of house duties and responsibility for a wide range of related administrative tasks.

Regular tasks include directing correspondence, visitors, suppliers and calls, coordinating logistics for office events, meetings and appointments, managing office supplies and equipment via asset management processes as required. The position holds responsibility for coordinating facility service requests (e.g. maintenance) and interacting with relevant Boeing functions and suppliers.

Areas of support include office security procedures such as health and safety, fire and first aid response, shelter in place, visitors screening and registration, all in compliance with Boeing and in-country policies and procedures.

A non-comprehensive summary of further tasks and activities is listed here after:

  • Opening the office at 08:30AM, Monday to Friday
  • Distributing mail and postage
  • Operating the switchboard
  • Reserving conference rooms and workspaces
  • Supporting preparation of internal and external meetings and events
  • Providing reception and guest management services
  • Coordinating vendors for events, logistics, office maintenance and ad hoc activities
  • With general supervision, assisting in collection and organization of data for further processing
  • Compiling data and posting information to various electronic information systems as needed
  • Ordering, distributing and storing office supplies, including stationery, kitchen and printers’ supplies
  • Supporting invoice management, expense reports tracking and other administrative tasks as required

Areas of responsibility may evolve over time, including development opportunities in support to ongoing projects.

The ideal candidate:

• Has a graduate degree in administrative and/or secretarial studies or equivalent or a minimum of two years of relevant work experience within multinational companies

• Has excellent written and verbal communication skills in French and English; English is the main working language, an equivalent TOEFL iBT score of 104-108 and above, or equivalent Duolingo score of 135 and above or equivalent, is required.

• Has the ability to work both independently and collaboratively with different departments

• Is a team player with high energy, positive attitude, and dedication to first time quality and accuracy

• Demonstrates time management skills, an adequate sense of urgency and the ability to effectively manage multiple activities, prioritizing effectively

• Has strong customer service attitude and willingness to walk the extra mile

• Is highly responsive to urgent and emergent needs arising from the day-to-day activities

• Demonstrates a high level of proficiency in MS Office, including Word, Excel, PowerPoint, SharePoint

Important information regarding this requisition:
This requisition is for a locally hired position in France. Candidates must have current legal authorization to live and work in France. Benefits and pay are determined at the local level and are not part of Boeing U.S. based payroll.
