We have an exciting opportunity for you to work as Site Focal / Business Support Specialist at our location in Paris, France.

You will be part of the Boeing Global Enterprise Services team for Europe and ensure smooth operations of our Boeing office in Paris. This position requires excellent organizational, communication, and problem-solving skills, as well as the ability to work independently and collaboratively with various stakeholders. This role can only be performed onsite (no hybrid work).

Tasks and Responsibilities include (but not limited to):

  • Office Operations: Oversee and manage the day-to-day operations of the office, ensuring a clean, safe, and productive work environment for all employees. This includes coordinating office supplies, equipment maintenance, lease and company owned vehicles, and managing vendor relationships. This also includes supporting reception desk duties as required.
  • Facility Maintenance: Collaborate with Global Real Estate & Facilities Management teams to address any maintenance or repair needs within the office site. Coordinate with external contractors as required and ensure prompt resolution of issues.
  • Safety and Security: Implement and maintain safety protocols and procedures to ensure the well-being of Boeing employees and visitors. This includes conducting regular safety inspections, coordinating emergency preparedness plans, updating emergency notification systems and phone trees, as well as monitoring access control systems.
  • Space Planning and Utilization: Optimize the efficient use of office space by analyzing current and future needs, coordinating office relocations, and managing seating arrangements. Collaborate with relevant teams to ensure a productive and ergonomic work environment.
  • Equipment and Technology: Oversee in collaboration with the IT department the procurement, installation, and maintenance of office equipment and technology infrastructure. Ensure that employees have the necessary tools and resources to perform their job effectively, including computers, printers, software, and communication systems.
  • Budget and Expense Management: Assist in the preparation and management of the office site budget as required. Monitor expenses, support Indirect Supply Chain in negotiating contracts, and identify cost-saving opportunities while maintaining service quality.
  • Communication and Coordination: Act as a central point of contact for employees and stakeholders regarding office-related matters. Facilitate effective communication between different departments and teams within the office site.
  • Employee Support: Provide support to employees regarding office-related inquiries, such as meeting room reservations, travel arrangements, and general administrative assistance. Foster a positive and inclusive office culture that promotes collaboration and teamwork. Support on- and offboarding of employees.
  • Finance Support: Partner with our finance teams to process invoices and manage the life cycle of capital assets and office property. Administer local credit card requirements and provide financial data for planning, budget and spend analysis.
  • Policies and Compliance: Ensure compliance with company policies and local regulations pertaining to office operations, health and safety, data security, and accessibility. Stay informed on relevant laws and regulations and advocate for the implementation of necessary changes as required.
  • Continuous Improvement: Proactively identify areas for improvement within the office site operations and implement appropriate measures to enhance efficiency, productivity, and employee satisfaction. Seek feedback from employees and stakeholders to drive continuous improvement initiatives.

Basic qualifications:

  • Excellent communication skills in English and French; both verbal and written
  • Bachelor’s Degree or higher

Preferred Qualifications:

  • 3-5 years’ work experience in administration, data analytics or business support
  • Must be a proactive, assertive, high energy individual and can work efficiently in an environment where priorities can change frequently.
  • Must be highly responsive to the needs generated by the day-to-day activities of the site and business management requirements
  • Should exhibit mature and independent judgment, initiative and flexibility
  • Able to solve problems as they arise and use initiative or seek clarification as appropriate.
  • Precise, accurate, and meticulous with outstanding organizational skills
  • Be capable working well with others.
  • Be computer literate with excellent experience of MS Office. Word, Excel and PowerPoint are essential
  • Strong analytical skills with the ability to collect, organize, analyze, and disseminate significant amounts of information with attention to detail and accuracy
  • Experience with occupational health and safety is beneficial
  • Preferably experienced in working in a multicultural environment
