In the role of HR Operations Officer you will support the Global Employee Support (GES) team in managing HR administrative activities across several legal entities within France. The role will report to the HR Operations Lead to provide administrative support on HR activities related to the employee lifecycle, including but not limited to supporting the creation of employment contracts, employee onboarding process and pension opt out administration. The individual will require to build positive relationships and partner with numerous HR teams, business and functional colleagues to ensure consistency and best practice as well effective communication with stakeholders.

Job Responsibilities

  • Employment contracts
    • Create employment contracts for candidates not covered by the central/automation team
    • Coordinate HR and candidates’ signatures via DocuSign
    • Responsible for monitoring and tracking progress and escalating if required
  • Support the administration of new joiners, transfers and mobility movers not covered by the centralized HR function, such, as but not limited to:
    • Responsible for monitoring and tracking, ensure the appropriate documents are collected
    • Sharing documents with 3rd party agencies or other HR functions
    • Prepare communication to send to new joiners
    • Respond to employee queries
    • Prepare and organise employee paper and electronical personal files in line with the firms record retention period.
  • Support the administration of the pension opt out process:
    • Responsible for monitoring and tracking, ensure the appropriate documents are collected
    • Share documents with 3rd party agencies or other HR functions
    • Prepare and send communication
    • Respond to employee queries
    • Ensure documents are filed in line with the firms record retention period
  • Offboarding process – working with other HR teams to ensure that the management the employee offboarding process is complete and perform local activities.
  • Support the creation of employment verifications
  • Support the records management project to ensure that offsite records are correctly itemised
  • Other Employee administration tasks such as working with external partner to ensure appropriate ‘right to work’, coordinating medical checks, tracking leave of absence, collecting health insurance documents, coordinating AMF Certifications and probation period tracking

Required qualifications, capabilities, and skills

  • Knowledge in HR operation function and/or experience/background in Operations: i.e. operating procedures, operating model design, strategy
  • Microsoft skills: Experience with Word, Excel and outlook skills
  • Ability to prioritize deliverables, ttention to detail and the ability to work under pressure within tight deadlines.
  • Ability to develop partnerships with colleagues across the firm and external partners.
  • Flexible and adaptable to changes in procedures, processes and systems.
  • Fluent in English and French (verbal and oral) with a strong customer focus and strong communication skills
  • Previous experience in a large global multi-national would be beneficial, however not essential
